Your trust matters - here's how we protect your info

Last Updated: October 20, 2025

Look, we're architects, not data miners. When you reach out to us about turning your home into a medieval fortress or restoring that century-old building, we collect some info - but only what we actually need. This page breaks down what we gather, why we need it, and how we keep it safe. No corporate jargon, just straight talk about your privacy.

When you contact us or fill out a project inquiry, we're gonna need some basics:

  • Contact Details: Name, email, phone number - pretty standard stuff so we can actually get back to you
  • Project Info: Address of the property, what kind of architectural work you're interested in, budget range if you're comfortable sharing
  • Communication Records: Emails, notes from our conversations, sketches you send us - we keep these to make sure nothing falls through the cracks
  • Site Visit Data: Photos we take during site assessments, measurements, condition reports

We don't collect anything creepy or unnecessary. If we're asking for it, there's a real reason tied to designing or restoring your space.

Everything we collect serves a purpose - here's the breakdown:

  • Project Development: Creating designs, drafting plans, preparing proposals tailored to your specific needs
  • Communication: Responding to inquiries, scheduling consultations, sending project updates
  • Legal Compliance: Meeting Canadian architectural regulations, building codes, heritage preservation requirements
  • Documentation: Maintaining records for permit applications, heritage assessments, insurance purposes
  • Improvement: Understanding what kind of projects folks are interested in helps us refine our services

We won't sell your info to anyone. Ever. That's not how we roll. Your contact details stay with us and the contractors/consultants directly involved in your project.

Security's important - especially when dealing with property info and personal details. Here's what we do:

  • Secure Storage: All digital files are stored on encrypted, password-protected servers
  • Limited Access: Only team members working on your project can access your information
  • Physical Security: Paper documents are kept in locked filing cabinets at our Vancouver studio
  • Email Encryption: Sensitive documents are shared through secure portals, not just regular email
  • Regular Updates: We keep our security systems current and review protocols regularly

No system's perfect, but we take reasonable precautions. If there's ever a breach affecting your data, we'll let you know ASAP.

Architecture projects don't happen in a vacuum. Sometimes we need to share your info with:

  • Engineers & Consultants: Structural engineers, heritage specialists, stone masons - folks who help bring designs to life
  • Contractors: If you hire us for full project management, we'll share relevant details with the construction team
  • Government Authorities: Building departments, heritage committees when permits and approvals are needed
  • Legal/Financial: Lawyers or accountants if contract issues come up (rarely happens, but you know)

Everyone we work with signs confidentiality agreements. They're bound by the same privacy standards we follow.

What we DON'T do: Sell your info to marketing companies, share it with unrelated businesses, or post your project details publicly without permission.

Our website's pretty straightforward, but we do use some basic cookies:

  • Essential Cookies: Keep the site functioning, remember your language preferences, that sort of thing
  • Analytics: We track which pages get visited most to improve the site - totally anonymous data
  • Form Data: If you start filling out a contact form and leave, we might save it temporarily so you don't lose your work

We don't use tracking cookies for advertising. You can disable cookies in your browser settings if you want, though some site features might not work as smoothly.

Under Canadian privacy laws (specifically PIPEDA), you've got rights regarding your personal info:

  • Access: You can request a copy of all the information we have about you
  • Correction: If something's wrong or outdated, let us know and we'll fix it
  • Deletion: Want us to delete your data? We can do that, though we might need to keep some records for legal reasons (like completed project documentation)
  • Opt-Out: Don't want project update emails? Unsubscribe anytime - we won't be offended
  • Portability: Need your data transferred somewhere else? We'll provide it in a usable format

To exercise any of these rights, just shoot us an email at studio@wyrmshroudedge.info or call (604) 555-0197. We'll respond within 30 days.

We don't hoard data forever - here's our retention policy:

  • Active Projects: We keep everything during the project and for 7 years after completion (standard practice for architectural firms in Canada)
  • Inquiries That Don't Move Forward: Basic contact info stays on file for about 2 years in case you change your mind, then it's deleted
  • Heritage Projects: Documentation related to heritage buildings might be kept longer for historical record purposes
  • Financial Records: Tax-related documents are kept for 7 years as required by Canadian law

Once the retention period's up, we securely delete or destroy the information unless there's a legal reason to keep it.

Our services are for adults. We don't knowingly collect information from anyone under 18.

If you're a parent and think your kid's sent us their info somehow, reach out and we'll delete it immediately.

Privacy laws evolve, our practices might change - if we update this policy, we'll post the new version here with a revised date at the top.

For major changes that affect how we handle your data, we'll send an email to active clients. It's worth checking back here occasionally if you're curious about updates.

Got questions about your privacy or how we handle data? Don't hesitate to ask.

If you're not satisfied with our response, you can file a complaint with the Office of the Privacy Commissioner of Canada. But let's talk first - we're pretty good at sorting things out directly.

We're architects who happen to care about privacy

Your trust means everything - we treat your information with the same care we put into our designs.
